HR Helper 

HR Helper is a unique and flexible web-based system developed by Norrbom Vinding to give clients access to up-to-date customised HR legal documents.

What can HR Helper do?

Depending on the arrangement agreed with Norrbom Vinding, HR Helper may contain many types of HR legal documents such as:

  • Employment contracts
  • Notices of termination
  • Staff policies
  • Severance agreements
  • Warnings

Also, Norrbom Vinding offers a number of additional services from a general review of clients’ employment contracts to HR law outsourcing services.

Below an employment contract is used as an example.

HR Helper provides easy access to what we call the "up-to-date customised standard contract".

Up-to-date means that Norrbom Vinding will ensure that the contracts in the HR Helper system are continuously updated to ensure legal compliance and reflect best industry practice, etc.

Customised means that each contract in the HR Helper system is customised to each individual client’s needs – bearing in mind that no two clients' needs are the same.

Obviously, we will not change the contracts without first consulting with the client, but we will keep the client informed of new legal developments and recommend – and, if so agreed, implement – changes in the contracts. In other words, it is Norrbom Vinding who will use resources to keep the documents updated, and not the client.

Standard means that the client will use the standard contract for all relevant employment situations, which ensures that each individual contract will comply with relevant legislation and fulfil the client's own requirements.

How does HR Helper work?

Access and security
HR Helper is accessed via Norrbom Vinding's website – www.norrbomvinding.com – where the client will be asked to enter user name and password.

Once validated by the system, the client user is granted access to the Norrbom Vinding Extranet, which is a restricted site reserved for HR Helper users.

The Extranet is designed to look like our main website, but the contents will differ to some extent. In addition to being the access point to HR Helper documents, the Extranet is intended to provide a forum for knowledge sharing between Norrbom Vinding and its client users.

User names and passwords are individual and unique. In this way, access to HR Helper documents is personalised for each of the client’s users – if, for instance, not all of the client’s employees should have access to all types of documents.

And the system can, of course, be accessed around the clock.

Depending on the client’s arrangement with Norrbom Vinding, HR Helper may be used to generate different types of HR legal documents. In certain types of documents, eg an employment contract, it will be possible to add certain paragraphs.

The system works as follows: the paragraph selected for inclusion in the document is ticked off in the paragraph menu linked to each document. The numbering of the paragraphs will then be automatically adjusted to reflect the user's selections.

Paragraphs that are mandatory for the document in question will not feature in the menu and can thus not be deselected.

The user will then be asked to open the document or save it on his computer. The document will open in Word format and can now be edited. All HR Helper documents are in Word format so that the user will work in a familiar environment.

The document will typically ask the user to fill in a number of fields – eg name, address, etc. – and, by using the F11 key, it is easy to skip to the next field. Alternatively, the user will be asked to decide which wording (typically out of two possible wordings) that would best serve the purpose in the specific situation.

Required fields are grey. If a version containing alternative wordings has been chosen by the user and only one wording can be used, the wordings will be marked in red and green, respectively. Please note that these colour codes will not be visible when the document is printed.

Instructions
In parallel with the document itself, the user may download instructions to help complete the document. The instructions are structured in the same way as the main document. This means, for instance, that any editing options for the main document will be reflected in the instructions.

The instructions form the basis of the decisions that the user should be taking when filling in the document and selecting or deselecting wordings and also serve as a "check list", helping the user ensure that all fields etc. have been filled in. In this way, the instructions also contribute to a better understanding of the product created by HR Helper.

Layout
The HR Helper documents are presented in Word templates. The standard Norrbom Vinding template is used as a starting point, but if the client's own Word templates are added, the documents can be presented with the client’s logo, typography, etc.

The Extranet
As described above, HR Helper will also give the user access to Norrbom Vinding’s Extranet. Accessible only by users of HR Helper, this restricted website is designed as a forum for knowledge sharing – the place where Norrbom Vinding shares legal knowledge with client users.

The Extranet is currently under development, but in future it will provide information about relevant legislation and legal news and provide a selection of links. The goal is to make Norrbom Vinding's Extranet the place where client users can find all relevant HR legal information.

Price
Pricing is based on the required product mix, the size and nature of the client, etc. When an arrangement has been made with Norrbom Vinding, the client will generally have unlimited access to use the documents.
